Exhibition Booking, Payment & Cancelation Terms

  1. BOOKING COMMITMENT

Once an exhibitor signs and returns the Aeromedical Asia 2027 Exhibition Booking Confirmation, the booking will be treated as a binding commercial commitment, subject to the terms stated in the booking documentation.

  1. PAYMENT TERMS

Exhibition fees are payable within 7 working days from the invoice date unless otherwise stated in writing by the Organiser.

The applicable exhibition fee, booth type and payment deadline will be stated in the invoice issued by Efinair MyJets International Sdn. Bhd., Host & Organiser of Aeromedical Asia 2027.

  1. FAILURE TO PAY

If payment is not received within the stated payment period, the Organiser reserves the right to release, reallocate or resell the exhibition space.

Release, reallocation or resale of the exhibition space does not automatically waive any amount already due under the signed booking and applicable cancellation terms.

  1. CANCELLATION BY EXHIBITOR

All cancellations must be submitted to the Organiser in writing.

The following cancellation charges will apply based on the date written cancellation is received:

More than 120 days before the event:
25% of the total exhibition fee remains payable.

90–119 days before the event:
50% of the total exhibition fee remains payable.

60–89 days before the event:
75% of the total exhibition fee remains payable.

Less than 60 days before the event:
100% of the total exhibition fee remains payable.

  1. NON-PARTICIPATION

Failure to attend, failure to occupy the allocated booth, withdrawal without written notice, or abandonment of the exhibition space will not automatically cancel the exhibitor’s payment obligations.

Any amount due under the applicable cancellation period will remain payable.

  1. TRANSFER OF BOOKING

An exhibitor may request transfer of its booking to another eligible company or organisation.

Any transfer is subject to the prior written approval of the Organiser and may be subject to exhibition category, eligibility, allocation and administrative requirements.

  1. OUTSTANDING AMOUNTS

Any outstanding exhibition fee or cancellation amount remains payable notwithstanding the subsequent release, reallocation or resale of the exhibition space.

Any waiver, reduction, settlement or variation of an outstanding amount must be expressly agreed in writing by the Organiser.

  1. ORGANISER’S RIGHTS

The Organiser reserves the right to manage exhibition space, booth allocation, floor-plan configuration and participation requirements in accordance with venue, safety, operational and exhibition-management requirements.

  1. EXISTING BOOKINGS

These terms apply to bookings that expressly incorporate or accept this policy.

They do not retrospectively amend, replace or impose new cancellation charges on exhibition bookings signed before the effective date of this policy unless separately agreed in writing.

  1. APPLICABLE LAW

All bookings and exhibition arrangements are subject to the applicable laws of Malaysia.
